A Guide to Buying Coffee and Tea Wholesale for Riyadh Companies

Coffee and tea are recurring purchases in every office, yet many companies buy them without a plan: scattered orders, too many products, and running out just before an important meeting. This guide helps you organise wholesale buying in four steps.

1. Estimate your monthly needs

Start with a simple formula: number of employees × average cups per day × working days per month.

As an illustration, a company with 20 employees drinking two cups a day over 22 working days needs about 880 cups a month. If 40% of that is tea, that is about 352 cups of tea, or roughly four boxes of 100 bags. Add what you need for guests and meetings, then adjust after the first month based on actual use.

2. Keep the range small

Fewer products make ordering and storage easier and reduce waste. A small mix covers most offices:

  • Instant coffee: such as Nescafé Classic or Nescafé Gold, practical for daily use.
  • Arabic coffee: important for meetings and guests, and available in instant sachets.
  • Ground filter coffee: if your office has a brewer.
  • Black and green tea: bags are easiest in the office, while loose tea suits anyone brewing a pot.
  • Herbal tea: an extra option for those avoiding caffeine.

Remember the extras, such as coffee creamer, sugar and milk, so they do not hold you up.

3. Watch pack size and storage

Compare prices by cost per cup, not just price per pack. The largest pack is not always the best choice if you use it slowly. Check expiry dates on delivery, store products somewhere dry and away from heat, and use the oldest stock first.

4. What to check when choosing a wholesale supplier

  • Tax invoices: do they meet Zakat, Tax and Customs Authority requirements?
  • Volume pricing: are there prices tailored to your company's order volume?
  • Payment terms: does the supplier offer deferred payment for approved accounts?
  • Delivery: does it cover your location, and what does it cost?
  • Recurring orders: can a fixed monthly order be arranged so you do not run out?
